Expo Vendor FAQ

When is vendor setup, and when should I arrive?
Vendor setup begins at 9:00a. All booths must be showcase ready by 11:00a. The event opens to the public promptly at 11:30a. Arriving early allows you to unload and settle in before the street closes to vehicle traffic.

Where do I check in on event day?
Vendor check-in will be located inside Evergreen Square, in the parking spaces across from the Clock Tower. Please enter via North 4th Street, between Key Bank and Evergreen Square, from 9:00a to 10:00a. Chamber staff will greet you curbside—no need to leave your vehicle. You’ll receive your booth assignment, voting box, and drop off your contribution for the Best of Mason County Basket.

Can I park nearby after unloading?
After unloading at your booth, you must move your vehicle immediately. Parking is not permitted in Evergreen Square, the Post Office lot, or Mariano Plaza. Public parking is available throughout downtown Shelton.

Can I drive onto the street to unload?
Yes, during setup hours only. All vehicles must be off Railroad Avenue by 10:30a. Street access reopens for breakdown at 6:30p.

What if I finish early or run out of supplies? Can I pack up?
No early breakdowns. All booths must remain fully intact until 6:30p. This ensures consistent experience for attendees and respects the time and investment of all vendors. Any vendor who breaks down prior to 6:30p will be assessed a $100 fee and may not be permitted to return to future Expos.

What are the booth space dimensions and layout?
Each vendor is assigned a 10’x10′ booth space. Spaces are marked along the sidewalk with chalk lines and face inwards toward the center of Railroad Avenue. The back of your booth should face the sidewalk. If you reserved more than one space or have layout concerns, contact the Chamber in advance.

What equipment does the Chamber provide?
None. Vendors must bring their own canopy, tables, chairs, signage, and display materials. Tent weights are required for all canopies.

Is electricity available at the event?
No, electrical access is not provided. Vendors should use battery-powered devices or ensure that any equipment can function independently.

Can I bring a generator?
Generators are only allowed only for essential functions, such as food preparation. They must be quiet or inverter-style, rated at 65 decibels or lower. Refer to the vendor guidelines for details.

Will there be Wi-Fi access?
Wi-Fi coverage is limited. While there may be public access near Evergreen Square, it is not reliable throughout the event footprint. Vendors are encouraged to use mobile data or payment systems that function offline.

What is the “Best of Mason County” Basket, and how do I participate?
Each vendor is encouraged to donate a small item that represents their business—like a gift card, branded item, sample, or giveaway—for this crowd-favorite prize. Please bring your contribution to check-in. Feel free to attach a business card or note to promote your brand.

What happens if it rains?
This is a rain-or-shine event. Booths must remain open regardless of weather. Please prepare for light rain and wind—weighted tents are required regardless of forecast.

Can I decorate my booth or offer games, raffles, or giveaways?
Absolutely! Vendors are encouraged to create an engaging and visually appealing booth experience. Decorations, games, raffles, and giveaways are all great ways to attract attendees and make your business stand out. All décor must be secure and contained within your booth footprint, and able to withstand light wind or rain. If you’re offering a game, prize drawing, or giveaway, please ensure it complies with local and state laws, particularly when collecting personal information or offering high-value items. Looking for ideas? Consider a spin-to-win wheel, a small photo booth, or branded swag bags, anything interactive that ties into your brand and helps start conversations.

Can I request a sign from the Chamber?
If you requested a printed sign when you submitted your registration, it will be available at check-in.

Can I share a booth with another business?
Booth sharing is not allowed unless previously approved by the Chamber, and only in cases of a clear partnership or co-branded effort.

Are food vendors required to have permits?
Yes. Food vendors must meet Mason County Health Department standards and present proper permits at check-in.

What do I do with my garbage?

It is your responsibility to gather all refuse (garbage and recycling) in and around your booth space and pack it out with you. Garbage cans are provided throughout for the convenience of guests and are not to be used by vendors for garbage generated at your booth or during setup and tear down.

Is security provided?
There is no dedicated security staff. The Chamber works with local law enforcement and city staff to monitor the area, but vendors are responsible for their own belongings. Do not leave valuables unattended.

What are the Best Booth and Golden Fork awards?
These are people’s choice awards. Guests will cast their vote for their favorite overall booth and favorite food vendor. Vendors will receive a voting box from event staff Create an engaging and memorable booth to stand out!

How do I promote my participation?
Share your excitement! Use #MasonCountyExpo and #SupportLocal on social media and tag the Chamber. Post teaser photos, behind-the-scenes prep, and updates throughout the day. You can also add the official Expo event to your business’s Facebook Page using the steps included in your vendor confirmation email.

Where can I find local vendors for printing or promotional materials?
We recommend connecting with the following local businesses: Batfish Ink, Black Star, Candy Wrapper Store, Northwest Custom Tees, and The Shopper. These businesses can help with signage, swag, printed materials, and more.
